We aim to handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (“APPs”) to the extent they apply to us.
“Personal information” is information or an opinion about an identified individual, or an individual who can reasonably be identified, whether true or not.
The information we collect depends on how you interact with us.
We may collect:
name and contact details if you submit them;
email address;
enquiry or contact information;
IP address and general device or browser information;
website usage, referral and analytics information;
information submitted through website forms;
information contained in cookies or similar technologies.
We may collect:
full name and email address;
business name and role;
registration and attendance details;
responses to registration or feedback questions;
questions, comments and information shared during the event;
workshop recordings, photographs or testimonials, where notice has been provided and any required consent has been obtained; and
information necessary to send event access details and follow-up communications.
We will not publish your name, image, comments, business information or story as a testimonial or case study without appropriate permission.
For paid programs, we may collect:
name, email address, phone number and business details;
information about your goals, challenges and business;
coaching notes and records of interactions;
enrolment, attendance and participation information;
program communications;
payment and transaction details;
information you voluntarily provide during coaching, workshops or program activities.
Please do not provide health information, highly sensitive personal information or confidential information about another person unless it is necessary for the service and you are authorised to provide it.
When you request a free or paid report, we may collect information necessary to generate and deliver it.
For a paid Soul to Scale Business Map, this may include:
full name;
email address;
birth date;
birth time;
birth timezone;
birth city or place;
computed Human Design summary, including type, authority, profile, centres and gate activations;
report responses or other information you provide;
payment processor session ID;
amount and currency;
product name.
We do not intentionally collect or store your payment card number or card security details. Payment card information is handled by our payment processor, currently Stripe.
Birth details are personal information. They are not automatically sensitive information merely because they are birth details. However, a Human Design, personality or spiritual report may generate or reveal information about a person’s philosophical, spiritual or similar beliefs. We therefore treat report-related information as potentially sensitive information and apply heightened care to its collection, use, disclosure and security.
If you contact us, we may collect:
your name and contact details;
the content of your enquiry;
attachments or information you choose to provide;
information needed to verify your identity before responding to a privacy or account request.
We may collect personal information:
directly from you when you complete a form, register, purchase or communicate with us;
when you attend or participate in a workshop or program;
when you use our platform or another service we provide;
through cookies, analytics and similar technologies;
from payment, email, hosting, CRM or technology providers;
from a person who registers you for an event or program with your authority; or
from publicly available sources where reasonably necessary for our business.
Where reasonable and practicable, we will collect personal information directly from you.
We collect, use and disclose personal information for purposes including:
providing, administering and improving our website, platform, workshops, reports and programs;
generating and delivering free and paid reports;
re-opening, reproducing or re-sending a purchased report;
providing customer support and responding to enquiries;
processing payments and maintaining purchase records;
managing memberships, accounts, bookings and access;
communicating with you about a purchase, program, event or service;
maintaining business, tax, accounting and legal records;
improving our content, services and customer experience;
managing security, fraud prevention and technical issues;
sending marketing communications where permitted and where you have provided any required consent;
protecting our rights, property, personnel and users.
We will not use report data, birth details or inferred report information for unrelated marketing purposes without appropriate consent.
We do not sell your personal information.
Before you submit birth details or other information needed to generate a report, we will provide a collection notice and request appropriate consent.
We recommend using a separate, unticked consent box substantially in the following form:
I expressly consent to Soul × Systems × Scale™ collecting, using and storing my birth details and the resulting Human Design and business report information to generate, provide, reproduce and support my report. I understand that this information may be stored or processed by overseas technology providers, including Cloudflare, as described in the Privacy Policy.
Marketing consent should be separate:
I agree to receive relevant emails, invitations, resources and offers from Soul × Systems × Scale™. I understand that I can unsubscribe at any time.
You may withdraw consent by contacting us. Withdrawal of consent may mean that we cannot generate, reproduce, re-send or support a report that depends on the relevant information. Withdrawal does not affect processing already undertaken lawfully before withdrawal.
Sensitive information is a category of personal information that may include information or opinions about matters such as philosophical or religious beliefs, health, racial or ethnic origin, political opinions, sexual orientation and criminal record.
We do not intend to diagnose, assess or make claims about your health, mental health or medical condition. Our Human Design, personality and related reports are interpretive personal-development and business-education tools.
Because some report outputs may reveal or infer philosophical, spiritual or similar beliefs, we will:
seek express consent where appropriate;
collect only information reasonably necessary for the relevant service;
restrict access to authorised personnel;
avoid using report information for unrelated advertising without separate consent;
provide a process for access, correction and deletion requests.
We may disclose personal information to service providers that help us operate our business, including:
Cloudflare, including Cloudflare D1, for hosting, storage and database functionality;
Stripe, for payment processing and payment-related records;
MailerLite, for email delivery, communications and marketing where applicable;
our online platform and other hosting, CRM, learning, scheduling, analytics and technology providers;
professional advisers, accountants, insurers, lawyers and auditors;
government agencies, regulators, courts or law enforcement where required or authorised by law; and
a purchaser or successor of our business, subject to appropriate confidentiality and privacy protections.
We expect our service providers to handle personal information only for authorised purposes and to maintain appropriate security.
We do not intentionally send full birth details or report content to Stripe where this is not necessary for payment processing.
We will not add you to a marketing list merely because you purchased a report or attended a free workshop where applicable consent is required. Marketing emails will include an unsubscribe option.
Our technology providers may be headquartered or operate outside Australia.
Paid report information is stored in a private Cloudflare D1 database within our Cloudflare account. Cloudflare is headquartered in the United States and operates global data centres. As a result, personal information may be stored, accessed or processed outside Australia, including in the United States or other countries where Cloudflare or its service providers operate.
Other providers, including Stripe and MailerLite, may also process information outside Australia. The countries involved may change as providers update their infrastructure and subprocessors.
By providing consent where requested, you acknowledge that overseas storage or processing may mean:
your information is handled in a country with privacy laws different from Australia;
overseas providers or their subprocessors may access information to provide their services; and
Australian privacy protections may not apply in exactly the same way in every location.
We aim to take reasonable steps to ensure overseas providers handle personal information consistently with applicable Australian privacy obligations, including through contractual, technical and organisational safeguards.
We take reasonable steps appropriate to the circumstances to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.
Our measures may include:
HTTPS encryption when information is transmitted;
access-controlled storage;
a private, non-public database for paid report records;
a password-protected administrator page;
access limited to authorised SSS team members;
collection of a limited amount of information necessary for the relevant purpose;
account and permission management;
procedures for responding to suspected privacy or security incidents.
No internet transmission or storage system can be guaranteed to be completely secure. You should use strong, unique passwords and notify us promptly if you believe your account or information has been compromised.
If we become aware of an eligible data breach, we will respond in accordance with applicable notification obligations.
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.
For paid reports, we may retain the information needed to:
deliver and re-deliver the purchased report;
provide customer support;
verify purchase and payment history;
manage refunds, complaints or disputes;
comply with legal obligations.
We periodically review retained personal information. When information is no longer reasonably required, we aim to securely delete it or de-identify it, subject to:
legal or regulatory retention requirements;
accounting, tax or transaction-record requirements;
unresolved complaints, disputes or legal claims;
technical limitations relating to backups, archives or service-provider systems.
Where practical, we may delete raw birth details while retaining a de-identified or limited report record where this is sufficient for our lawful business purposes.
You may request access to personal information we hold about you. You may also ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
We may need to verify your identity before processing a request. We will generally respond within a reasonable period and explain any permitted refusal or limitation.
If we cannot make a requested correction, you may ask us to associate a statement with the information noting the correction you sought.
You may ask us to delete personal information we hold about you.
We will consider the request and delete or de-identify information where it is no longer reasonably required and no legal or operational exception applies. We may need to retain limited information where required for tax, accounting, fraud-prevention, dispute-resolution, security or legal purposes.
Deleting report information may prevent us from reproducing or re-sending a report.
We may send service-related communications that are necessary to provide a product, program, workshop or report.
We will send marketing communications only where permitted by law and, where required, with your consent. You can unsubscribe using the link in the communication or by contacting us.
Unsubscribing from marketing will not necessarily stop essential service, account, transaction or support communications.
